Executive Assistant (Hybrid; m/f/x/d; 80%)

Regular Employment

Location: Zurich, Zurich, CH

Are you a master of organization, a champion of efficiency, and someone who thrives in a fast-paced, high-stakes environment? If you are the kind of professional who anticipates needs before they arise, keeps multiple plates spinning with ease, and brings calm confidence to even the busiest of days — we want to hear from you. Join Swiss Re's Asset Management division and play a pivotal role in supporting some of the most dynamic leaders in the industry.

About the Role

As an Executive Assistant within Swiss Re's Asset Management division, you will be the operational backbone for several Managing Directors and their teams across three distinct investment areas. This is far more than a traditional support role — you will be a trusted partner, a strategic coordinator, and a key connector across teams and leadership levels. Your ability to manage complexity, maintain confidentiality, and deliver with precision will directly enable the success of the leaders and teams you support.

Key Responsibilities

  • Screen and prioritize incoming emails, visitor requests, and inquiries, evaluating relevance and importance, and directing them to the appropriate team members with sound judgment
  • Manage complex calendars for multiple senior leaders, arranging travel, meetings, conference calls, visitor registrations, conference room bookings, and catering logistics
  • Coordinate intricate travel arrangements, including international itineraries, ensuring all logistics are seamlessly executed and process related expenses
  • Produce high-quality reports and presentations using Microsoft Word, PowerPoint, and Excel to support leadership communications and business needs
  • Contribute to special projects across Asset Management functional areas and in support of senior leadership initiatives
  • Provide backup support to fellow Executive Assistants, fostering a collaborative and resilient team environment
  • Assist with event planning in a corporate setting, coordinating logistics and ensuring smooth execution of internal and external events

About the Team

This role sits within the Assistants Team, a collaborative and high-performing group spanning three of Swiss Re's key global hubs — Zurich, London, and New York. The team plays a critical role in enabling senior leadership across Swiss Re's Asset Management division to operate at their best, providing seamless, professional, and proactive administrative support across time zones and geographies. As an internationally connected team, we pride ourselves on our shared standards of excellence, our strong team spirit, and our ability to work fluidly across cultures and organisational boundaries. You will be joining a group of experienced, engaged professionals who support one another and continuously raise the bar for what great executive support looks like.

About You

You are a seasoned, proactive, and highly adaptable professional who takes pride in delivering exceptional support to senior leaders. You bring a high level of energy, discretion, and intellectual curiosity to everything you do. You are equally comfortable working independently and collaborating across teams, and you have a natural ability to build trusted relationships at all levels of an organization. You thrive under pressure, embrace challenges, and bring a solutions-oriented mindset to every situation.

We are looking for candidates who meet these requirements:

  • 7+ years of professional experience in a comparable Executive Assistant or senior administrative role within a corporate environment
  • Bilingual proficiency in English and German — both written and spoken — with the ability to draft polished, professional correspondence in both languages
  • Exceptional organisational skills, with a proven ability to manage competing priorities, complex schedules, and tight deadlines without losing attention to detail

These are additional nice to haves:

  • Familiarity with the financial services, insurance, or reinsurance industry
  • Strong interpersonal and communication skills, with the confidence to liaise with senior stakeholders across cultures and geographies
  • Attentiveness to detail and quality — a natural drive to get things right the first time, every time
  • Proficiency in Microsoft Office Suite (Outlook, PowerPoint, Word, Excel) and digital collaboration tools
  • A proactive, solutions-oriented mindset with the ability to work independently and exercise sound judgement in ambiguous situations
  • Resilience and adaptability in a fast-paced, ever-changing environment
  • Collaborative team spirit with a flexible, can-do attitude and the willingness to step in wherever needed to support team success

In the situation where you do not meet all the requirements or you significantly exceed these, the offered salary may be below or above the advertised range.

In addition to your base salary, you may be eligible for additional rewards and benefits including an attractive performance-based bonus.

Eligibility may vary depending on the terms of Swiss Re policies and your employment contract.
