Executive Assistant & Operations Officer

The Executive Assistant & Operations Officer for Public Sector Solutions provides dedicated executive support to the Head of Public Sector Solutions (PSS), ensuring the smooth running of a complex leadership agenda, stakeholder interactions and key engagement activities. The role is primarily focused on executive support and includes operational coordination responsibilities that contribute to the effective operation of the PSS team, including budget administration, employee engagement activities, management reporting, town halls, offsites and selected external engagements.
About the Role
This Executive Assistant role supports the Head of PSS in a fast-paced, externally facing environment. The successful candidate will act as a trusted partner, helping to manage priorities, coordinate activities and ensure the smooth execution of leadership commitments in an international setting. The role requires strong judgement, resilience, discretion and the ability to respond calmly to rapidly changing priorities. The successful candidate will frequently arrange meetings with clients, prospects, brokers, and public sector stakeholders on short notice, and work closely with their executive offices and assistants worldwide. The role offers exposure to senior leaders, clients, brokers and public sector stakeholders and is suited to an experienced EA who enjoys working closely with decision-makers and delivering high-quality support in a demanding environment.
Key Responsibilities:
- Manage a complex and fast-changing calendar for the Head of PSS, ensuring thoughtful prioritisation of meetings, travel, leadership commitments and stakeholder interactions.
- Coordinate domestic and international travel, itineraries and related logistics, including preparation for senior internal and external meetings.
- Manage a dynamic executive agenda, frequently adjusting schedules and coordinating meetings with senior internal and external stakeholders on short notice.
- Build effective working relationships with executive assistants and stakeholder offices across Swiss Re, clients, brokers and public sector organisations to facilitate timely coordination.
- Prepare briefing materials and executive-level presentations, including stakeholder profiles, objectives, background information and key considerations.
- Plan and coordinate the Head of PSS participation in the World Economic Forum and other high-profile external engagements, including intensive meeting scheduling, stakeholder coordination, logistics, briefing preparation and real-time support during event periods.
- Support the preparation and coordination of leadership meetings, agendas, documentation, follow-up actions and governance routines.
- Act as a trusted point of contact for internal and external stakeholders, handling sensitive and confidential information with professionalism and discretion.
- Deputise for other PSS assistants during absences, where needed.
Budget, Expense & Operational Administration:
- Support recurring budget, expense and cost administration activities for PSS in partnership with finance stakeholders.
- Help coordinate budget planning inputs, monthly reporting activities, accruals, cost allocation and related follow-ups.
- Coordinate expense administration, purchase orders, procurement administration and vendor interactions while maintaining accurate documentation and reporting.
Employee Engagement & Team Activities:
- Coordinate employee engagement, NPS, and stakeholder feedback processes across PSS
- Support survey execution, response tracking, management summaries and follow-up actions
- Support the planning and delivery of PSS town halls, leadership meetings, offsites and selected team events

Public Sector Solutions (PSS) develops and manages Swiss Re relationships with governments, public institutions and supranational organisations globally. The team operates across multiple regions and collaborates closely with partners throughout Swiss Re.
About You
You are a highly organised and resilient professional who thrives in a fast-paced, international environment. You excel at managing competing priorities, building strong relationships with stakeholders across different cultures and seniority levels, and bringing structure to complex situations. You are proactive, able to anticipate needs, work independently, and consistently demonstrate professionalism, integrity, and discretion when handling sensitive matters.Significant experience in Executive Assistant, Executive Support, or comparable senior business support roles within a multinational organisation.
- Proven experience supporting senior executives with complex schedules, international travel, and demanding stakeholder environments
- Advanced Excel skills, including the ability to analyse, structure, and present information accurately
- Strong PowerPoint skills, with the ability to prepare professional executive-level presentations and briefing materials
- Experience with budgets, cost reporting, procurement processes, or operational administration
- Strong Microsoft Office skills and willingness to learn new tools and internal systems
Languages:
- Fluent English, written and spoken
- German is an advantage and any additional languages are welcome
For Slovakia the base salary range for this position is between EUR 1,800 and EUR 2,800 per month (for a fulltime role). The specific salary offered considers:
- the requirements, scope, complexity and responsibilities of the role,
- the applicant’s own profile including education/qualifications, expertise, specialization, skills and experience.
In addition to your base salary, you may be eligible for additional rewards and benefits including an attractive performance-based bonus.
